| Goal:

To
make the library's meeting facilities available to the entire community
free of charge whenever possible. |
| Policy:
|
The
use of the meeting rooms is to be properly supervised groups which
are non-profit organizations engaged in educational, cultural, intellectual
or charitable activities. |

| Rule:
|
A
representative of the group, who must be over 18 years of
age, needs to be identified and agree that the room will not
be used for profit.
| Procedure:
|
The
representative will complete the Meeting Room Application
form. The approval of the reservation will be made by
the library staff on a case by case basis with the final
approval of the director. Approval by the Library Board
of Trostees may be necessary in cases where the nature
or motivation of the group is unclear. |

| Rule:
|
The
library's own meetings and those dealing with library activities
will take priority in reservations; all other groups will
be served on a first come, first serve basis. |

| Policy:

Any
organization willing to abide by the library's rules may book the
library's meeting room |

| Rule:

The
number of persons in the group is not to exceed the maximum
occupancy capacity as established by the Village of Potsdam's
Code Enforcement Officer. |

Any
damage to the building and furnishings by a group will be
repaired at the expense of that group. |
| Rule:

Use
of the library meeting rooms may be denied if it imposes a
burden on the library staff |

| Procedure:
|
The
library staff shall remove a group from the library
if it is found to be using tobacco, alcohol or drugs
on its premises and / or is generally causing a disturbance.
|
| Procedure:
|
Groups
must exit at library closing time unless a library employee,
board-member or volunteer assumes the responsibility
of closing. |
